This position works in a busy, fast-paced office with a high volume of incoming phone calls and serves as an important first point of contact for our homeowners, board members, vendors, visitors, and team members. The ideal candidate is comfortable managing multiple calls at once, handling frequent interruptions, shifting priorities throughout the day, and providing excellent customer service even during high-volume periods.

Key Responsibilities

  • Answer and manage a high volume of incoming telephone calls, including handling multiple calls at one time and routing callers to the appropriate team member.
  • Greet visitors and provide professional, courteous, and efficient customer service.
  • Respond to or appropriately route calls and emails within established timeframes.
  • Accurately document calls using Vantaca's Call Log and utilize the Teams Community Information app to assist callers.
  • Serve as a key office "gatekeeper" by identifying callers' needs and directing inquiries to the appropriate department or team member.
  • Immediately escalate emergency calls or situations to the appropriate Association Manager or Executive Team member.
  • Receive, sort, date stamp, and distribute incoming and returned mail.
  • Prepare and coordinate daily incoming and outgoing courier bags, certified mail, packages, and other deliveries.
  • Monitor incoming faxes and distribute information to the appropriate team members.
  • Notify team members when packages or deliveries are available for pickup.
  • Assist with association mailings and other administrative projects as needed.
  • Help maintain shared office spaces, including conference room beverage and coffee supplies and general kitchen organization.
  • Perform additional administrative and office support duties as assigned.

  • Ability to multitask and prioritize while managing frequent interruptions.
  • Strong attention to detail and follow-through.
  • Dependable, punctual, and able to work effectively as part of a team.
  • Comfortable using computers, email, Microsoft Teams, and other office software.
  • Previous receptionist, customer service, administrative, or high-volume telephone experience preferred.
